Bookkeeping and QuickBooks automation: Never enter QuickBooks by hand

Card payments post on their own, the books are checked against the bank, and you can ask what you're making any time.

The chore
Typing payments in, matching them to the bank, tracking what you owe, and waiting on the accountant to know how you're doing.
What it does
Posts every card payment, reconciles the books, tracks accounts payable and accounts receivable, and tells you your real profit when you ask.

How the bank connection works

  1. Card payments come in through Stripe.

    Running in our businesses
  2. Your bank account connects through a secure bank-connection service like Plaid. You log in to your bank through that service, never through us.

    We'll build this for you
  3. Every deposit and charge is matched to the books on its own.

    We'll build this for you
  4. Anything that doesn't match is flagged for you.

    We'll build this for you

Today this is done by asking the assistant. The automatic bank connection is the next step.

Next, we'll build

  • An automatic end-of-day report

What you make by day, week, month and year, against last year, sent on its own.

    We'll build this for you
  • Payroll tracking

Hours from the job clock flowing into QuickBooks payroll.

    We'll build this for you
  • Year-end figures for your accountant

Profit and loss and income-tax totals, ready for your accountant.

How we did it

Both businesses' card payments post to QuickBooks on their own and are checked against the payment records. Nobody types them in.

Limits

We're not accountants or tax preparers. We set up the books so your accountant gets clean figures.

What it costs

$175 an hour

One rate for all of it.

Estimate
Before any project, you get a written estimate with a not-to-exceed cap. You pay for the hours we actually work, never more than the cap.
If the job changes
If the job changes, we write a new estimate before doing more.
First meeting at your business
An on-site consultation is billed by the hour. If we go ahead, that time comes off the job.
First call by phone or video
Tell us on the form if a phone or video call is enough to start. We'll look at what you sent and tell you before we talk whether there's any charge.
A closer look
If we need a closer look at how the business runs, that's billed by the hour too, like everything else.
Travel
On-site travel: the first 30 minutes each way are on us, then $40 per half hour.
Contract
No long-term contract or retainer. You sign each written estimate before we start.

A few lines about your business and what's eating your time is enough to start. Every request is read by a person, and if something isn't worth doing, we'll tell you.
