Email automation: Never sort email again

Your mail set up properly and sorted for you, and new customers get a reply that asks the questions you'd ask.

The chore
Digging through the inbox, deleting junk and typing the same answers.
What it does
Sorts your mail, sets spam aside, drafts replies that ask the right questions, and gives you a short list of what needs you.
Where it runs
Running in our businesses
What it costs
$175 an hour, from a written estimate with a cap

How it works, step by step

  1. Your domain gets the signing records that stop others faking your address and keep your mail out of junk folders.

  2. Your mailbox is sorted for you three times a day. Spam is set aside.

  3. A new customer's email gets a reply drafted, asking what you need to know: the make and model, the address, the best time. Requests from your website form get an answer right away.

  4. Anything that needs you lands on a short list, and in your morning briefing.

How we did it

Both businesses' mailboxes are sorted three times a day, and new requests get a reply asking the right questions. Both businesses' email is signed so it isn't faked or sent to junk.

How all of it works

Nothing goes out without you

Replies, estimates, review responses and follow-ups are drafted for a person to check, and you approve them before they go out. Standard replies, like the questions you ask every new customer, you approve once, and then they're sent for you.

  1. Drafted for you
  2. Checked by you
  3. Then sent

Limits

We built it on Outlook (Microsoft 365). For Gmail we'd adapt it.

What it costs

$175 an hour

One rate for all of it.

Estimate
Before any project, you get a written estimate with a not-to-exceed cap. You pay for the hours we actually work, never more than the cap.
If the job changes
If the job changes, we write a new estimate before doing more.
First meeting at your business
An on-site consultation is billed by the hour. If we go ahead, that time comes off the job.
First call by phone or video
Tell us on the form if a phone or video call is enough to start. We'll look at what you sent and tell you before we talk whether there's any charge.
A closer look
If we need a closer look at how the business runs, that's billed by the hour too, like everything else.
Travel
On-site travel: the first 30 minutes each way are on us, then $40 per half hour.
Contract
No long-term contract or retainer. You sign each written estimate before we start.

Something broken instead? A computer, the Wi-Fi, a printer, email that stopped working: that's our sister business. Promora is for designing, building and automating. Go to Long Island Home Tech Help →

Tell us what's going on.

A few lines about your business and what's eating your time is enough to start. Every request is read by a person, and if something isn't worth doing, we'll tell you.
